Homeowners

How do I create my account online?

First you will need your Security Key. If you are a new owner, please refer to the Welcome Letter, as the Security Key is listed at the end.

If you are not a new owner or do not have your letter, please call (919) 847-3003 to obtain your Security Key.

What is a Security Key?

The Security Key is a code specific to your address and is needed only for your initial log in and to create your Account.

Why am I having trouble registering?

We have two references to assist you.

  • Step by Step:
    • Complete the fields indicated with an asterisk (*)
    • If you receive a message that “The Security Key is already in use,” this means an account has already been created for your address. For help, please reference question #4.

Why am I having trouble logging into my Account? 

First, please remember that your Username is your full email address.

Also, confirm that you are using the correct password. If the problems persist, please contact us at (919) 847-3003.

If there is an emergency after hours, who do I call?

Please contact us at (919) 847-3003 and leave a message in the designated mailbox. The On Call Manager will be alerted and respond.

How can I pay my bill/dues/assessment online?

  •           Log in to your account
    • Select My Account – Assessment Payment Options
    • Choose your method of payment and complete all fields as indicated

Can I pay my bill over the phone?

We apologize, however, we can not accept payments over the phone. As an alternative,  you are welcome to pay online.

Do you accept Credit Cards?

We do  accept Visa, MasterCard, Discover and American Express Credit Cards. Please note you will be charged a 3.25% fee by the processor for this service.

However, you can avoid this fee by paying by E-Check. Click here.

How can I get a copy of my HOA dues account statement?

Log in to your Account and go to My Account -Account Statement.

There will be a small icon “Export to” and “PDF.” Choose the PDF format and print.

What does my dues cover?

Please go to the Realtors, Lenders & Closings Tab, select Property Search tab and complete the fields as directed.

Once you have reached the community Association Information page, please scroll down to the bullet “Association Dues and Assessments.”

Do I need permission to make changes to the outside of my home or yard?

Most exterior changes to your home or yard require prior approval by an Architectural Review Committee or the Developer. Please review your HOA Architectural Guidelines for specific information and to better understand the process. The Guidelines can be found in your homeowner home page under Governing Documents-Architectural Guidelines and Architectural Application.

You may submit the application and supporting documentation via fax, email, or mail.

How do I rent the clubhouse? (Only applicable to communities with a clubhouse)

Please email your name, address and the date you would like to reserve to info@charlestonmanagement.com. The staff member that coordinates reservations will review your request and respond.

How do I get a pool key/pass?

Depending on your specific community, you may need to complete a form. Please contact Client Services at (919) 847-3003 or email info@charlestonmanagement.com.

How do I start an automatic draft for my dues?

Dues that are paid semiannually, quarterly or monthly may be drafted directly from your bank account.  You will need to complete the Draft Authorization Form and return it to us with a voided check.  The Auto-Draft Authorization Form can be found on our main page under the Homeowner Resources button.

How do I get a copy of the homeowner’s account statement?

This is also referred to as a Dues Letter.

Due to privacy issues, only the homeowner can access information through the website as per #9 under the ‘Homeowners’ section of the FAQs.

If you require a dues letter from our accounting office, there will be a $25.00 charge.
